Cancellation Policy – Dr H Consult

At Dr H Consult, we value both our patients’ time and the clinical time reserved for each appointment. This cancellation policy is designed to ensure fair and transparent booking arrangements while allowing the clinic to operate safely and efficiently.

This policy applies to all in-person consultations, video consultations, and clinical procedures.

1. Consultation Appointments (In-Person)

1.1 Booking and Deposit

  • In-person consultations are priced at £200.
  • To secure an appointment, patients must pay a £50 booking and administrative deposit at the time of booking.
  • This £50 deposit is non-refundable and reserves clinician time and clinic resources.
  • The remaining balance is payable in accordance with the clinic’s payment process.

1.2 Cancellations and Non-Attendance

  • The £50 booking deposit is retained in all circumstances if the patient cancels or does not attend.
  • This includes late cancellations, missed appointments, or dissatisfaction with the consultation outcome.
  • Consultation fees are charged for professional time and expertise, not for a guaranteed medical result.

1.3 Rescheduling

  • Patients may reschedule an in-person consultation by providing at least 72 hours’ notice.
  • The £50 deposit will be transferred to the rescheduled appointment.
  • Requests to reschedule with less than 72 hours’ notice may require a new booking and deposit.

2. Video / Online Consultations

2.1 Payment

  • Video consultations are charged at £200 and must be paid in full at the time of booking.

2.2 Cancellations

  • If a video consultation is cancelled with at least 72 hours’ notice, £150 will be refunded.
  • The £50 booking and administrative fee is non-refundable in all circumstances.
  • If cancelled with less than 72 hours’ notice or not attended, no refund will be issued.

2.3 Technical Issues

  • Where a video consultation cannot proceed due to a verified technical failure on the clinic’s side, the patient may choose to:
    • reschedule at no additional cost, or
    • receive an appropriate refund.

3. Clinic Delays and Clinic-Initiated Cancellations

3.1 Delays

  • While we aim to run on time, medical appointments may occasionally be delayed.
  • If a delay of more than 60 minutes is anticipated, patients will be informed as soon as reasonably possible.

3.2 Patient Options in Case of Significant Delay

If the delay exceeds 60 minutes and the patient is unable to wait, the patient may choose to:

  • reschedule the appointment at no additional cost, or
  • receive a full refund of any fees paid for that appointment.

3.3 Clinic-Initiated Cancellations

  • If the clinic cancels an appointment and no suitable alternative can be offered, a full refund of any fees paid will be issued.

4. Clinical Procedure Appointments

4.1 Procedure Deposits

  • To secure a procedure appointment, a procedure-specific booking deposit is required.
  • Deposit amounts vary depending on the nature and complexity of the procedure and will be clearly communicated in writing at the time of booking.
  • Procedure deposits form part of the total procedure fee and are not an additional charge.

4.2 Cancellations

  • Procedures cancelled at least 28 days before the scheduled date will receive a full refund of the procedure deposit.
  • Procedures cancelled with less than 28 days’ notice will result in forfeiture of the deposit.

4.3 Rescheduling

  • Procedure appointments may be rescheduled with at least 14 days’ notice, subject to availability.
  • If a procedure is rescheduled and subsequently cancelled, the deposit will be forfeited regardless of notice period.

5. Service Quality and Concerns

  • All consultations and procedures are provided with reasonable skill and care in line with UK professional and regulatory standards.
  • If a patient believes that their consultation or treatment did not meet these standards, concerns should be raised with the clinic within 5 days.
  • Where appropriate, remedies may include a repeat consultation or partial refund. This does not apply to dissatisfaction with clinical advice or outcomes where care was appropriately delivered.

6. Exceptions

  • Refunds or fee adjustments will only be considered where:
    • the clinic is at fault
    • the clinic cancels the appointment
    • a significant delay occurs as outlined in Section 3
    • a verified technical failure occurs on the clinic’s side

7. Patient Acknowledgement

By booking an appointment with Dr H Consult, patients confirm that they have read, understood, and agreed to this Cancellation Policy. This policy forms part of the clinic’s Terms and Conditions and does not affect patients’ statutory rights under UK consumer law.

Please note that Dr H Consult will be closed for annual leave from 7th June and will reopen on 16th June.

For existing patients in the post-operative phase, Dr Hussein will continue to be available for virtual rounds as usual.
